What We Collect

Business info you provide (name, address, hours, phone)
Google account data you authorize (reviews, calendar, contacts, email)
Facebook and Instagram data you authorize (pages, messaging, business info)
Customer conversations handled by your AI agent
Phone numbers from inbound calls and text messages
Usage analytics (page views, feature usage, session duration)

What We Don't Do

We never sell your data. Period.
We never train AI models on your customer conversations.
We never share personal data with third parties for their marketing.
We never access more than you explicitly authorize.
We will not share or sell mobile information to third parties or affiliates for marketing or promotional purposes.

SMS and Text Messaging

When customers interact with a Sagentic-powered AI agent via phone or text:

Phone numbers are collected from inbound calls (caller ID) and text messages
Messages include appointment reminders, booking confirmations, service follow-ups, review requests, and customer care communications
Message frequency varies based on customer interactions, typically 1-3 messages per engagement
Message and data rates may apply
Message content and phone numbers are stored securely for the duration of service
SMS data is retained for 90 days, then automatically deleted

How We Obtain Consent

Sagentic obtains opt-in consent to send SMS messages through the following methods:

Verbal consent during phone call: When a customer calls a business using a Sagentic-powered AI receptionist, the agent informs the caller of the text message, its purpose, and that message and data rates may apply. The customer verbally agrees. Consent is logged with timestamp and phone number.
Website form: Customers enter their phone number on a business website contact or booking form with an unchecked SMS consent checkbox that includes disclosure of message types, frequency, data rates, and opt-out instructions.

After opt-in, an immediate confirmation SMS is sent including program description, message frequency, data rates notice, and STOP/HELP instructions.

Opt-Out

Reply STOP to any message to immediately unsubscribe from future SMS communications
Reply HELP for assistance and contact information
Contact [email protected] to request removal

Once opted out, no further messages will be sent unless the recipient re-initiates contact and provides new consent.

Data Sharing

We will not sell, rent, or share your mobile phone number or SMS opt-in data with third parties or affiliates for marketing or promotional purposes. Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes.

Google Data

When you connect Google, we access only what you approve:

Business Profile: read and respond to reviews on your behalf
Calendar: check availability and create customer bookings
Gmail: send emails you explicitly authorize
Contacts: look up names for email composition

You can revoke access anytime from your portal Settings or from your Google Account permissions page.

Facebook & Instagram Data

When you connect Meta (Facebook/Instagram), we access only what you approve:

Business Pages: read and respond to messages and comments
Instagram Professional Account: manage DMs and comments
Page Insights: basic analytics for your business reporting

We do not post content to your pages without your explicit approval. You can disconnect Meta at any time from Settings. Upon disconnection, we delete all stored Meta tokens and cease accessing your Meta data.

How We Use Your Data

To operate your AI agent and respond to your customers
To send transactional text messages (reminders, confirmations, follow-ups)
To generate analytics, reports, and morning briefings
To improve service reliability and fix bugs
To send you account-related notifications

We do not use your data for advertising or sell it to advertisers.

Data Storage & Security

Hosted on secure US-based servers
Encrypted in transit (TLS 1.3) and at rest (AES-256)
Customer conversations retained for 90 days, then auto-deleted
SMS messages and phone numbers retained for 90 days, then auto-deleted
Content uploads retained for 30 days, then auto-deleted
OAuth tokens encrypted and stored separately from user data
Access restricted to essential personnel only

Data Sharing

We share data only with:

Infrastructure providers (hosting, database) — under data processing agreements
AI model providers (for generating agent responses) — no personally identifiable data sent
Payment processors (Stripe) — only billing information
Telephony providers (Twilio) — for voice calls and SMS delivery only

We do not share data with data brokers, advertisers, or any unrelated third parties.

TCPA Compliance

Sagentic operates in compliance with the Telephone Consumer Protection Act (TCPA). Text messages are sent only to customers who have provided consent through one of the following methods:

Calling the business phone number (consent obtained verbally by the AI agent during the call)
Initiating a text conversation with the business number
Submitting their phone number through the business website contact or booking form

Customers may revoke consent at any time by replying STOP to any message. Reply HELP for assistance.

Your Rights

Access: Request a copy of your data at [email protected]
Delete: Request full data deletion — we comply within 30 days
Export: Download your data in machine-readable format
Revoke: Disconnect any service at any time from Settings
Opt out: Unsubscribe from non-essential communications

Children's Privacy

Sagentic is a business tool. We do not knowingly collect data from anyone under 18. If you believe a minor has provided data, contact us and we will delete it.

Changes to This Policy

We may update this policy periodically. We will notify you via email or in-app notification of material changes at least 30 days before they take effect.
